Privacy & Statutory Register Data Policy
Pursuant to Nonprofit Governance and Statutory Register Norms
1. Collection of Statutory Records
The Society for Mathematical and Computational Research (SMCR) respects the privacy of its members, fellows, research scholars, event participants, authors, reviewers, and website visitors. The Society is committed to handling personal information responsibly, transparently, and in accordance with applicable data protection and other relevant laws. Personal information may be collected and processed for legitimate institutional purposes, including membership administration, registration and participation in academic events, communication with members, processing scholarly submissions, issuing certificates, maintaining institutional records, and fulfilling applicable legal and administrative obligations. As a registered society, SMCR may maintain records relating to its membership, governing body, meetings, activities, and institutional administration, as required by its governing documents and applicable law. Where personal information forms part of an official statutory or institutional record, it will be retained and handled in accordance with the applicable legal requirements and the Society's record-management policies. This does not mean that all personal information is automatically part of a statutory register or that every record must be retained indefinitely. Access to personal information will be limited to authorized persons and legitimate purposes, subject to applicable legal obligations. Information may be shared with relevant service providers, institutional partners, or public authorities where necessary for legitimate Society operations or where required or permitted by law. SMCR will take reasonable measures to protect personal information against unauthorized access, disclosure, alteration, or loss. Individuals may contact the Society through its officially published contact details to raise questions about their personal information or applicable privacy practices. Requests for access, correction, or deletion will be considered in accordance with applicable law, legitimate record-retention requirements, and the Society's policies. This preamble should be read alongside the complete Privacy Policy, which should specify the categories of information collected, purposes and lawful grounds for processing, retention periods, data-sharing practices, security measures, and available rights and contact procedures.
2. Protection of Financial Credentials
SMCR does not store applicant bank account debit/credit PINs or net-banking passwords. All remittances are processed directly via banking channels (State Bank of India) or UPI gateways. Transaction reference slips are retained solely for statutory audits conducted by certified Chartered Accountants.
3. Third-Party Non-Disclosure
Personal phone numbers and private email addresses are never sold, leased, or transmitted to commercial marketing entities. Data is utilized strictly for society circulars, conference dispatches, and merit award notifications.
